Simple UK cloud payroll with a genuinely free tier for the smallest employers

What is Shape Payroll?

Shape Payroll is the small, focused UK payroll tool that does one job cleanly. It is built for the small employer who wants compliant payroll without the depth, cost or learning curve of the bureau grade products, and its free Basic tier makes it one of the cheapest ways to run a compliant pay run in the UK.

What it does well

Simplicity is the point and it is well executed. The pay run is quick and clear, RTI submissions go to HMRC as part of it, and auto enrolment is handled without fuss. For a business owner running payroll for a handful of people, that focus on the essentials done well is exactly right.

The pricing is genuinely small business friendly. The Basic tier is free, and Pro is five pounds a month for up to five employees paid, with a pound per additional employee. For a micro employer that is close to unbeatable, and the free tier is a real product rather than a trial.

Being cloud based and UK built, it updates automatically for each April's legislative changes and keeps your data secure without effort on your part.

Where it falls short

It is built for simple payrolls, so multiple pay frequencies, complex statutory scenarios and detailed reporting are beyond its scope. A growing or complex payroll will outgrow it and need a deeper tool such as BrightPay or Sage 50 Payroll.

As a smaller vendor it has a narrower feature set and ecosystem than the big names, and a business that wants payroll tightly integrated with a specific accounting product should check that connection exists.

The UK detail that matters

Shape Payroll is a UK product handling RTI submissions and pension auto enrolment to HMRC standards, with automatic legislative updates each tax year. For a small employer whose need is compliant payroll at minimal cost, it covers the essentials properly, and prices exclude VAT.

Who should buy it

The smallest UK employers who want simple, compliant cloud payroll at little or no cost, especially those paying a handful of people. Businesses with complex payrolls, multiple pay frequencies or bureau needs should look at BrightPay, Sage 50 Payroll or IRIS Staffology instead.
