What is Xero?

Xero arrived in the UK and changed what small business owners expected from accounting software. The bank reconciliation screen, where you match a transaction with a single click, is the interaction the whole product is built around, and it is still the reason a lot of people prefer it to anything else. In 2026 the UK range is four tiers: Ignite, Grow, Comprehensive and Ultimate.

What it does well

Reconciliation remains the best in the category. Xero shows you a suggested match and you either accept it or correct it, and once the rules learn your suppliers a month of transactions clears in minutes. For anyone who has fought a clunky bank import screen elsewhere, this alone sells the product.

Payroll is included rather than sold separately, and the allowance scales sensibly: one person on Grow, five on Comprehensive, ten on Ultimate. Ignite carries payroll at £1.50 per person per month. For a small employer this is a meaningful saving against products where payroll is a second subscription.

The app marketplace is enormous and the API is genuinely good, which matters more than it sounds. If you need your accounting to talk to a trade specific job management tool, an ecommerce platform or a stock system, the odds of a maintained Xero connector are very high.

Unlimited users on every tier is a real differentiator. QuickBooks charges by user band; Xero does not, so a business with several people touching the books is not penalised for it.

Where it falls short

The Ignite tier is very tight. Twenty invoices and ten bills a month, with reconciliation listed as optional, is a starter allowance rather than a working plan, and businesses that pick it on price frequently hit the ceiling within a quarter. Most real businesses belong on Grow at £37 a month excluding VAT.

Inventory is basic. Xero tracks stock but it is not a stock control system, and anyone holding meaningful inventory will be looking at a connected app or a different product. The same applies to manufacturing.

Reporting is clean but less customisable than QuickBooks Advanced, and the fixed asset register, while present, is functional rather than sophisticated.

The UK detail that matters

Xero is HMRC recognised and handles Making Tax Digital for VAT and for Income Tax. CIS calculation and subcontractor reporting is available from the Ignite tier upwards, which is genuinely useful for construction. Payroll is UK RTI compliant with pension auto enrolment. All prices exclude VAT at 20 percent, and there is a heavy introductory discount running at the time of writing, so check the standard rate before you budget.

Who should buy it

UK small businesses that value a fast month end and want payroll included, and anyone who needs to connect their accounting to other systems. Start at Grow rather than Ignite unless your volumes are genuinely tiny. If you hold stock or need deep reporting, compare against QuickBooks Plus and Sage 50 before deciding.

Solid, with a weak entry tier

Inventory is basic, we run a separate app for real stock control, and the fixed asset register is functional rather than good. Bank reconciliation is the fastest I have used, a month clears in minutes, which is about the only positive.

Great for connecting other systems

MTD VAT submissions have never once given us trouble. Only real gripe is that reporting is clean but less customisable than I expected.

Bank reconciliation is the fastest I have used, a month clears in minutes. That said, the fixed asset register is functional rather than good and most businesses need to start on Grow, not the headline entry plan.
