What is BrightPay?

BrightPay is the payroll product you find when you ask an accountant what they actually use rather than what they sell. For years it ran on the desktop and quietly became the default for thousands of UK and Ireland practices and bureaus. From the 2026/27 tax year it is cloud only, which is a significant change for a loyal base, and the review has to weigh both the pedigree and the transition.

What it does well

Depth without drama is the reputation, and it is earned. RTI submissions, automatic enrolment, statutory payments and the annual legislative changes are all handled cleanly, and the software has a long record of being ready on day one of a new tax year rather than patched a fortnight later. For a bureau processing dozens of payrolls that reliability is the whole product.

Batch processing and multi employer workflows are genuinely strong. Running many clients from one place, with per client settings and a clear audit trail, is where BrightPay pulls ahead of tools built for a single business. The employee app for payslips and documents removes a steady stream of admin.

Value has always been part of the appeal. The desktop pricing was modest for the capability, and the product rarely nickel and dimed you for standard features.

Where it falls short

The cloud move is the elephant in the room. Long standing desktop users have to migrate, relearn some workflows, and accept a different pricing model, and any forced platform change carries risk however well managed. Judge the cloud version on its own merits during a trial rather than assuming parity with the desktop you knew.

It is a payroll specialist, not an HR suite. If you want performance reviews, applicant tracking or a full people system you are looking at a separate product alongside it.

The published cloud pricing is less transparent than the old desktop bands, so budgeting now involves a sign up or a conversation rather than a price list.

The UK detail that matters

Each tax year version is fully HMRC recognised. RTI, automatic enrolment with assessment and postponement, CIS where relevant, and statutory sick and parental pay are all covered to the standard a UK bureau needs. Support is UK and Ireland based and well regarded. The vendor is Thesaurus Software, trading as Bright, based in Leamington Spa.

Who should buy it

UK and Ireland accountants, bookkeepers and payroll bureaus, and businesses that want serious payroll depth rather than a light module bolted onto accounting. Existing desktop users should trial the cloud version properly before their final desktop tax year runs out.
