Cloud payroll with HR features for small UK employers, from £12 a month

What is Sage Payroll?

Sage Payroll is the cloud product for small UK employers who want payroll off their desk and out of a spreadsheet. It sits below Sage 50 Payroll in the range, and the split is straightforward: this one is browser based, priced per month with five employees included, and aimed at businesses that do not have a dedicated payroll person.

What it does well

The pay run is short. Sage has compressed the process into a small number of steps, and the calculations for tax, National Insurance and pension contributions happen without you touching them. For a business paying ten people monthly, a pay run is a task measured in minutes rather than an afternoon.

Pension auto enrolment is handled inside the product rather than alongside it. Assessment, enrolment and ongoing management sit in the same place as the pay run, which removes the most common source of error for small employers who have to comply but have never been trained to.

The anomaly detection is the best recent addition. Sage Copilot flags where an employee's net pay has moved more than ten percent against the last run, or gross pay by more than a set amount, before you commit. Catching a mistyped figure before payday rather than after it is worth the subscription on its own.

HR features are included at every tier rather than sold separately, which for a business of this size usually means holiday tracking and employee records are good enough to avoid buying a second system straight away.

Where it falls short

The five employee inclusion is the thing to watch. Every tier includes five, and additional employees are charged on top, with the range extending to 150. Work out your real headcount cost before comparing the £12 headline against rivals who price differently, because the ranking changes once you are paying for twenty people.

It is also deliberately simpler than Sage 50 Payroll. If you run multiple pay frequencies, complex holiday schemes, or need deep reporting and a proper audit trail, you will find the ceiling reasonably quickly. Businesses in construction with CIS subcontractors should check the fit carefully.

The UK detail that matters

This is a UK payroll product built by a company with over forty years of HMRC experience, and the compliance basics are properly covered: RTI submissions, HMRC notices automated into the pay run, pension auto enrolment, and payslips employees can self serve. Prices are quoted excluding VAT at £12, £23 and £34 per month for Essentials, Standard and Premium.

Who should buy it

UK employers with up to roughly fifty staff who want payroll handled without hiring for it. If you already use Sage Accounting, note that payroll is bundled there, so check whether you need this as a separate subscription at all before you buy.

Auto enrolment finally stopped worrying me

Copilot caught a net pay that had moved 40 percent before I committed. HMRC notices come straight into the pay run.

Pros

Copilot caught a net pay that had moved 40 percent before I committed.

Cons

Corrections to a previous period are more awkward than they should be.

Fine until you need complexity

Mixed. No payroll training and I have never missed an RTI deadline, but CIS subcontractors are not handled here, which confused us at first.

Pay run takes ten minutes now

Copilot caught a net pay that had moved 40 percent before I committed, and payslips self serve so nobody emails me asking for one. Reporting is basic if your accountant wants detail, but we live with it.
