Intuit's UK payroll add on for QuickBooks Online
QuickBooks Payroll is an add on rather than an included feature, which is the single most important thing to understand before comparing it with rivals. It attaches to any QuickBooks Online plan from Simple Start upwards and shares the same customer record and nominal ledger, so the payroll journal posts itself.
Integration with the ledger is the reason to choose it. Running payroll inside the same product that holds your accounts means no export, no import and no monthly journal to key. For a business already committed to QuickBooks, that is a genuine time saving and one fewer place for an error to hide.
Pension auto enrolment is handled inside the pay run, with assessment each period and connections to the main UK workplace pension providers. Employees get access to payslips through a self service portal, which removes the steady trickle of requests that otherwise land on whoever runs payroll.
The pay run itself is straightforward and forgiving, which suits the target buyer: a business owner or office manager running payroll rather than a trained payroll professional.
It is a paid add on, and that changes the comparison substantially. Sage Accounting now bundles payroll and Xero includes an allowance from the Grow plan upwards, so a like for like cost comparison has to add the payroll subscription to the QuickBooks headline. Businesses that compare only the accounting price reach the wrong conclusion.
Depth is limited against dedicated UK payroll products. Complex statutory scenarios, multiple pay frequencies, detailed audit reporting and correction workflows are all stronger in Sage 50 Payroll or BrightPay. Payroll bureaux should not be looking here at all.
CIS for construction is handled in the accounting product rather than in payroll, which is technically correct since subcontractors are not employees, but it does mean construction businesses work across two areas of the product.
RTI submissions to HMRC on or before payday, pension auto enrolment with periodic assessment, statutory payments, and the annual April legislative updates are all covered. Because Intuit sells the accounting product as HMRC recognised for Making Tax Digital, businesses get their VAT and payroll obligations from one supplier, which simplifies the audit trail.
Existing QuickBooks Online users with straightforward payrolls who want one supplier and one ledger. If you are choosing your accounting software now and payroll matters, price QuickBooks plus payroll against Sage Accounting with payroll bundled and Xero from the Grow plan, because the totals differ more than the headline prices suggest.
